This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

For the purpose of the Data Protection Act 1998 (the Act), the data controller is Notting Hill Editions Limited, whose registered office is at Mirefoot, Burneside, Cumbria, LA8 9AB United Kingdom.

This policy is effective from 25th May 2018 in compliance with GDPR legislation.

WHY WE NEED YOUR DATA AND WHAT WE USE IT FOR

If you have bought from our online store, we need your name and address to ship your order to you and your email address to contact you in the event of a query with your order and to notify you of when it has been fulfilled.

We need to hold onto your data to comply with tax laws in the UK. The legal basis for us holding this information is for the purpose of fulfilling a contract and as part of our legitimate business activities.

We may collect and process the following data about you:

Information that you provide by filling in forms on our site ‘www.nottinghilleditions.com’ (our site). This includes information provided at the time of placing an order on our site, registering to use our site, subscribing to our service, posting material or requesting further services: e.g. your name, address, phone number, email address, credit/debit card details, and purchase information. We may also ask you for information when you enter a competition or promotion sponsored by Notting Hill Editions Limited, and when you report a problem with our site.

Details of transactions you carry out through our site and of the fulfilment of your orders.

We do not store financial information.

IP ADDRESSES AND COOKIES

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.

For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. They help us to improve our site and to deliver a better and more personalised service. They enable us:

WHERE WE STORE YOUR PERSONAL DATA

All information you provide to us is stored on our secure servers. Any payment transactions are dealt with by our payment service provider, who are called Secure Trading, and are encrypted using secure server (SSL) technology. We will never ask you to send your credit card details via email or any unencrypted means. Do not send us your credit card details by email. Please contact us if any company claiming to be Notting Hill Editions Limited requests information from you in this manner.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

HOW LONG WE KEEP YOUR DATA

Customers

We are required under UK tax law to keep customers’ basic personal information for a minimum of 6 years after a transaction, after which time it will be destroyed. Your information we use for marketing will be retained until you notify us that you no longer wish to receive this information, at which point we will delete your data.

Newsletter subscribers

We will hold and use your information until you tell us you would like to unsubscribe, or for us to delete your information. To do this, click unsubscribe on any newsletter email or email us.

USES MADE OF THE INFORMATION

We use information held about you in the following ways:

To ensure that content from our site is presented in the most effective manner for you and for your computer.

To provide you with information, products or services that you request from us or which we feel may interest you (e.g. our newsletters and other marketing promotions), where you have consented to be contacted for such purposes.

If you do not want us to use your data in this way, or to pass your details on to third parties for marketing purposes, please tick the relevant box situated on the form on which we collect your data (the order form or registration form).

DISCLOSURE OF YOUR INFORMATION

We absolutely do not share your data with third parties unless:

  • we are obliged to for the day-to-day running of the business
  • to help us conduct marketing campaigns

We use Brevo to run marketing campaigns. They have a strong data privacy and security principle and you can find their privacy policy here.

If Notting Hill Editions Limited or substantially all of its assets are acquired by a third party, personal data held by it about its customers will be one of the transferred assets.

If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of useterms and conditions of supplyacceptable use policy and other agreements; or to protect the rights, property, or safety of Notting Hill Editions Limited, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
